By accessing our website or using any of our services, you agree to the following Terms and Conditions. We encourage you to read them carefully, as they outline the rights, responsibilities, and obligations between you (the “Client”) and us (the “Company”).
If you do not agree with these terms, please refrain from using our website or booking our services.
1. General Information
Varanasi Excursion operates as a registered travel service provider offering curated tours, transportation, accommodation, and travel assistance. All services are provided in good faith to ensure the best possible travel support for our clients.
The use of this website and our services implies acceptance of these terms, which may be updated periodically without prior notice. It is the user’s responsibility to check this page for any revisions.
2. Booking Policy
All bookings made through our website, email, or authorized agents are subject to availability and confirmation. To confirm a reservation, a specific percentage of the total amount (as mentioned during booking) must be paid in advance.
Once your booking is confirmed, a detailed itinerary and booking receipt will be shared via email or WhatsApp.
Payment Methods
We accept payments through multiple secure channels such as bank transfers, UPI, credit or debit cards, and other approved payment gateways. All transactions must be completed in Indian Rupees (INR) unless stated otherwise.
Incomplete Bookings
Varanasi Excursion reserves the right to cancel any booking if the required advance payment is not received within the specified timeframe.
3. Pricing and Inclusions
All prices listed on the website or shared in communication are based on current rates of accommodation, transportation, and government taxes.
Prices are subject to change without notice due to fluctuations in fuel costs, currency exchange rates, or unforeseen changes in travel-related expenses.
Each package clearly specifies what is included (such as accommodation, transportation, sightseeing, meals, etc.). Any service not mentioned under the “Inclusions” section is treated as an exclusion and may incur additional costs.
4. Cancellation and Refund Policy
We understand that travel plans can change. Our cancellation policy ensures fairness while covering the costs incurred in organizing your trip.
Cancellations by the Client
- Cancellation requests must be made in writing through email or WhatsApp.
- The refund amount (if applicable) depends on the time remaining before the tour start date:
- More than 30 days before departure: 80% refund
- 15–30 days before departure: 50% refund
- Less than 15 days before departure: No refund
- No refunds are issued for unused services, missed sightseeing, or early departures.
Cancellations by Varanasi Excursion
In rare cases, we may have to cancel a tour due to natural calamities, government restrictions, safety concerns, or other unavoidable circumstances. In such situations, clients may opt for a full refund or reschedule their trip for another date.
Refunds will be processed within 10–15 working days after the cancellation confirmation.
5. Travel Documents and Requirements
It is the responsibility of the traveler to carry valid identification, visas, permits, and any other required travel documents.
Varanasi Excursion does not hold responsibility for any denial of entry, fines, or delays caused by missing or invalid documents.
Foreign travelers must ensure their passport and visa remain valid throughout the trip. Any additional charges arising due to documentation issues will be borne by the traveler.
6. Health and Safety
Clients are responsible for their own health and physical condition while traveling. If a traveler suffers from a medical condition that may affect participation, they must inform the company before booking.
Varanasi Excursion and its partners follow safety standards but are not liable for injuries, illnesses, or accidents that occur during the trip.
We recommend that travelers purchase comprehensive travel insurance covering medical emergencies, trip cancellations, and personal belongings.
7. Conduct and Behavior
All travelers are expected to maintain respectful behavior toward fellow travelers, guides, drivers, and local communities. Any misconduct or unlawful activity may lead to immediate termination of services without a refund.
Clients must follow the instructions provided by tour leaders or local representatives to ensure safety and harmony during the journey.
8. Itinerary Adjustments
While we aim to adhere to every planned itinerary, circumstances beyond our control—such as weather conditions, strikes, or local events—may require changes.
Varanasi Excursion reserves the right to modify tour routes, timings, or accommodations to ensure the comfort and safety of travelers.
Any modifications will be made in the client’s best interest and without significant alteration of the overall travel experience.
9. Limitation of Liability
Varanasi Excursion acts as an intermediary between travelers and service providers such as hotels, transport companies, and local operators. We do not own or operate these services and therefore cannot be held responsible for acts, errors, or omissions by third parties.
We are not liable for losses, damages, delays, or inconveniences caused by natural disasters, strikes, accidents, thefts, or other situations beyond our control.
Our liability, in any case, shall not exceed the amount paid for the booked service.
10. Intellectual Property
All website content—including text, images, graphics, logos, and videos—is the property of Varanasi Excursion. Unauthorized copying, editing, or distribution of our material for commercial use is strictly prohibited.
You may view and print content for personal, non-commercial use only.
11. Third-Party Links
Our website may include links to third-party websites for traveler convenience. These links are provided for reference only.
Varanasi Excursion is not responsible for the content, accuracy, or privacy practices of these external sites. We encourage you to review their terms before engaging with them.
12. Complaints and Feedback
We value honest feedback as it helps us grow. If you face any issue during your trip, please inform our representative immediately so we can resolve it promptly.
Formal complaints must be submitted within 7 days of the tour’s completion via email at info@varanasiexcursion.com.
Late complaints may not be accepted if sufficient time has passed to investigate the matter.
13. Governing Law and Jurisdiction
These Terms and Conditions are governed by the laws of India.
Any disputes or claims arising out of the use of our services shall fall under the exclusive jurisdiction of the courts located in Varanasi, Uttar Pradesh.
14. Updates to Terms and Conditions
Varanasi Excursion reserves the right to amend or update these Terms and Conditions at any time. Updates take effect as soon as they are posted on our website. Continued use of our services after changes implies your acceptance of the revised terms.
