Varanasi Excursion aims to make every transaction smooth, secure, and transparent for our travelers. To maintain clarity and trust, this Payment Instructions Policy outlines the process, acceptable methods, timelines, and important conditions related to payments for tours, accommodations, and other travel services booked with us.
By confirming a booking or making a payment to Varanasi Excursion, you agree to follow the terms described in this policy.
1. Purpose of the Payment Instructions
This policy ensures that every traveler has a clear understanding of how payments are processed, recorded, and verified. It also defines the rights and responsibilities of both the traveler and Varanasi Excursion in managing deposits, balances, and service confirmations.
Our goal is to keep the payment process transparent, protect customer interests, and maintain proper documentation for every booking.
2. Accepted Payment Methods
Varanasi Excursion accepts multiple payment modes to accommodate both domestic and international travelers. You can make payments using:
- Bank Transfers (NEFT / RTGS / IMPS)
- UPI (Google Pay, PhonePe, Paytm, BHIM, etc.)
- Credit and Debit Cards
- International Wire Transfers
- Payment Links (secured online gateways)
- Authorized travel agency deposits
Cash payments are accepted only at our registered office in Varanasi and must be accompanied by an official receipt issued by our accounts department.
3. Bank Details for Direct Transfers
All payments should be made to the official Varanasi Excursion account.
Our authorized bank details will be provided in your invoice or booking confirmation email.
⚠️ Important:
Please do not transfer funds to any personal account or third-party name.
The company will not be responsible for payments made to unauthorized individuals or unverified bank accounts.
Always confirm payment credentials via an official email from info@varanasiexcursion.com before transferring funds.
4. Advance Payment Requirements
To confirm any booking, an advance deposit is required at the time of reservation.
This advance ensures your spot in the selected tour and helps us secure hotels, guides, and transportation in advance.
- Standard Tours: Minimum 25% of the total booking amount
- Group Tours or Customized Packages: Minimum 40% advance
- Special Event Tours (Festivals, Fairs, or Seasonal Trips): Minimum 50% advance
The balance amount must be settled before the start of the trip, as per the timelines below.
5. Balance Payment Timelines
To maintain smooth operations and ensure all arrangements are confirmed, travelers must complete the full payment within the following timeframes:
- Domestic Travelers: At least 7 days before the travel date
- International Travelers: At least 15 days before the travel date
- Last-minute bookings: Full payment must be made at the time of confirmation
Failure to make timely payments may result in cancellation of the booking, subject to the Cancellation and Refund Policies.
6. Payment Confirmation and Receipts
Once a payment is received, travelers will get a payment acknowledgment email and a tax invoice within 24–48 hours.
All receipts are issued by the finance department with a unique reference number and company stamp.
If you do not receive a receipt within this time, please contact info@varanasiexcursion.com immediately to verify your payment status.
7. Currency and Conversion Rates
All transactions are accepted in Indian Rupees (INR) for domestic travelers.
For international clients, payments can be made in major currencies such as USD, EUR, GBP, or CAD, subject to current exchange rates.
Currency conversion differences or transfer fees imposed by your bank are not covered by Varanasi Excursion. The amount credited to our account must equal the invoice amount mentioned in Indian Rupees.
8. Payment Gateways and Security
All online payments made through our website or authorized payment links are processed via secure, encrypted gateways that comply with PCI-DSS (Payment Card Industry Data Security Standards).
These gateways protect your personal and financial information from unauthorized access or misuse.
Varanasi Excursion does not store sensitive payment information such as credit card numbers or banking passwords. All transactions are processed safely through trusted financial partners.
9. GST and Applicable Taxes
All payments are subject to Goods and Services Tax (GST) as per Government of India regulations.
The applicable tax percentage will be clearly mentioned in the final invoice and depends on the type of service and travel destination.
Taxes are non-refundable once remitted to the government, even in cases of cancellation or partial refunds.
10. Late Payments
If the final payment is delayed beyond the specified due date, Varanasi Excursion reserves the right to:
- Cancel the booking and apply standard cancellation charges
- Withhold travel documents or vouchers until payment is cleared
- Levy a nominal late payment fee (up to 5% of the pending balance)
Timely payments help us confirm arrangements with hotels, transport providers, and guides without disruption.
11. Incorrect or Failed Transactions
If a transaction fails or an incorrect amount is transferred:
- Notify our finance team immediately via info@varanasiexcursion.com
- Share proof of payment or transaction reference ID
- Refunds or adjustments for duplicate payments will be processed within 7 business days after verification
Varanasi Excursion is not responsible for delays caused by banks, third-party payment systems, or network errors.
12. Third-Party Payments
In cases where a payment is made by someone other than the traveler (such as a friend, relative, or corporate entity), the payer’s name and contact information must be provided at the time of transfer.
This helps us match the payment with the correct booking record and issue a proper receipt.
13. Partial Payments and Installments
Varanasi Excursion may, at its discretion, allow installment-based payments for select packages.
Each installment must be paid on or before the agreed date to maintain the validity of the booking.
Failure to pay an installment may lead to cancellation or a reschedule fee, as per company policy.
All partial payments are considered non-transferable between different tours or travelers.
14. Proof of Payment
Travelers are advised to keep a copy of:
- Bank transfer slips
- Payment confirmation screenshots
- Invoice copies
- Email communications related to payments
Providing proof helps in quick verification and avoids any confusion at the time of travel.
15. Refunds and Adjustments
Refunds, if applicable, are governed strictly by our Refund Policy.
Refunds are processed only after verifying payment details, cancellation requests, and applicable deductions.
Refunds are credited to the same account or card used for the original payment.
Varanasi Excursion does not issue cash refunds.
16. Payment Fraud and Misuse
We maintain strong vigilance against payment fraud and unauthorized transactions.
If suspicious activity is detected, the booking may be temporarily held until verification is complete.
Varanasi Excursion will never request your banking credentials, OTP, or card details through phone calls or text messages.

17. Disputes Related to Payments
If a traveler believes an incorrect charge has been made or payment terms have not been followed, a written dispute must be submitted to info@varanasiexcursion.com within 7 days of receiving the invoice or receipt.
Our finance department will review the case and respond within 10 business days with a resolution or clarification.
All unresolved disputes fall under the legal jurisdiction of Varanasi, Uttar Pradesh, India.
18. Confidentiality and Data Protection
Varanasi Excursion treats all payment-related data with strict confidentiality.
We follow internal security measures to protect financial information from unauthorized access.
Payment details are shared only with authorized banks and payment processors to complete transactions.
19. Payment for Third-Party Services
Some services, such as flight tickets, visa processing, or special event bookings, may involve payments made directly to third-party vendors.
In such cases, their individual payment and refund terms will apply. Varanasi Excursion will assist in coordination but is not liable for their payment policies or delays.
