Cancellation Policy

At Varanasi Excursion, we understand that plans may change. Below is our cancellation policy for both individual and group bookings, along with important notes regarding refunds, identification, and payments.

1. For Individual (FITS) Visits/Packages

Cancellation & No Show Policy

All cancellations must be communicated in writing. The effective cancellation date will be the date we receive your written notice.

Cancellation Charges

  • 60 days or more prior to arrival – 15% of the total tour/service cost
  • 59 to 30 days prior to arrival – 30% of the total tour/service cost
  • 29 to 15 days prior to arrival – 50% of the total tour/service cost
  • 14 to 0 days prior to arrival or no show – No Refund

Note: No refunds will be provided for cancellations during:

  • High Peak Season: 20th December – 15th January
  • Festival Periods: Diwali, Dussehra, Holi, Pushkar Fair, etc.

2. For Group Tours/Packages

Cancellation & No Show Policy

Written notice is required and will be considered effective from the date of receipt.

Cancellation Charges

  • 60 days or more prior to arrival – 25% of the total tour/service cost
  • 59 to 30 days prior to arrival – 50% of the total tour/service cost
  • 29 to 0 days prior to arrival or no show – No Refund

Note: No refunds will be provided for cancellations during:

  • High Peak Season: 20th December – 15th January
  • Festival Periods

3. Important Notes (Applicable to All Bookings)

  • A minimum 10% service charge will apply to all cancellations after booking.
  • In case of natural calamities or unavoidable events, clients may choose:
    • A credit note for future travel (transferable to friends/family)
    • A refund (on request) minus the 10% service charge
  • If a tour is cancelled after commencement, any refund will depend on recoveries from hotels or service providers.
  • No refunds will be provided for unused services (e.g., accommodation, meals, guides, transportation).
  • Cancellation is calculated on the total tour cost, not just the advance paid.

4. Mandatory Identification Documents

Guests must provide valid photo ID at the time of booking confirmation:

  • Foreign Nationals: Passport + Visa
  • NRIs: Passport copy
  • OCI/PIO Holders: Passport + OCI/PIO card
  • Domestic Clients: Driving License / Voter ID / Passport

5. Mode of Payment

Payments can be made via Bank Transfer or Credit/Debit Card.

  • Clients must bear all bank remittance charges.
  • Transaction fees for card payments via gateway will apply.

6. Credit Card Charge-Back Policy

By paying via credit card, the client agrees to the following:

  • Varanasi Excursion will not bear any transaction or GST charges resulting from charge-backs.
  • Such charges may be recovered from the client or deducted from any refund due.
  • Clients are responsible for verifying details before making payment.
  • Fraudulent charge-back claims may result in legal action.

By proceeding with payment, the client acknowledges and accepts these terms.
